The Executive Assistant to the Chief Marketing Officer (CMO) will offer top-tier administrative support, ensuring smooth operations in the marketing department. This position is crucial for maximizing the CMO’s efficiency by overseeing schedules, organising meetings, managing internal communications, and aiding with special projects.
The perfect candidate is a proactive problem-solver with excellent communication skills, adept at working in a dynamic environment, and experienced in catering to the needs of a senior executive.
The successful candidate will have extensive experience in administration to take on the following responsibilities:
Calendar, Meeting, and Travel Management:
- Oversee the CMO’s calendar, scheduling meetings, appointments, and travel.
- Organise internal and external meetings, conferences, and presentations.
- Prepare agendas, take minutes, and ensure follow-up actions.
- Arrange complex travel itineraries with the travel team.
Communication and Correspondence:
- Act as the CMO’s first point of contact, screening communications.
- Draft and review reports, memos, emails, and presentations.
Event and Project Coordination:
- Assist in planning marketing events, team off-sites, and conferences.
- Support special projects with research, data collection, and presentations.
- Track project timelines and ensure deadlines are met.
Office and Team Support:
- Facilitate communication between the CMO and the marketing team.
- Manage expense reports, timesheets, invoicing, department budgets, and financial reporting.
Essential Competencies:
- Multiple years’ experience as an Executive Assistant, including 2 years with C-suite executives, preferably in marketing – a Bachelor’s degree in related fields is an advantage.
- Excellent written and verbal skills; strong attention to detail.
- Exceptional time management and ability to multitask and prioritise.
- Advanced in MS Office (Word, Excel, PowerPoint, Outlook, Teams).
- Anticipate needs, think critically, and offer solutions.
- Professionalism: High discretion and confidentiality; handle sensitive information.
