We are looking for a highly organised and proactive Sport Officials Coordinator to join the Sport Clubs Development and Education department. As part of the team dedicated to the development and support of motor sport officials worldwide, you will contribute to projects and initiatives that help maintain the highest standards across the FIA community.

You will report to the Sport Officials Manager.
MISSIONS AND RESPONSIBILITIES:
Administrative & Operational Support
- Deliver and support the day-to-day operations of the Sport Officials programme by handling communications, document preparation, meeting coordination, and reporting tasks
- Maintain accurate and up-to-date records relating to licences, training sessions, appointments, and other official activities
Database Management and Licence Support
- Assist with the population, maintenance, and review of the centralised Officials database, ensuring completeness and accuracy of information
- Track application and renewal processes of FIA Officials licences and support stakeholders in navigating requirements
- Generate regular reports on licensing metrics, appointment activity, and training participation
Training and Education Delivery Support
- Provide logistical and administrative support in the planning, coordination, and follow-up of Officials Training and Education events, both in-person and online
- Liaise with FIA University and external training providers to ensure delivery requirements are met
- Assist in the preparation and distribution of training materials, feedback collection, and post-event evaluation reports
Stakeholder Coordination
- Serve as a point of contact for FIA Clubs, colleagues, and stakeholders on matters related to Officials administration, training, and appointments
- Coordinate communications to Clubs and internal stakeholders in line with the overarching communications strategy set by the Manager and the Secretary General Sport – Services to Sport Clubs
FIA Uniform management & Support
- Working in close collaboration with colleagues, operationally lead the coordination and communication with all FIA Departments to define needs to enable these to be met via a centralised approach
- Lead and monitor all the registrations (FIA Officials, FIA Employees and consultant, etc) and the day-to-day operations activities regarding FIA Uniform management. and projects for potential evolution of the FIA uniform attribute, use policy, offer (new items) and re-stock decision
- Support the Sport Officials manager to oversee RFP process for new supplier, by providing specification / needs to Procurement and/or Commercial Department depending on the desired format of contractualization with the suppliers, organize show-up with the President & Leadership team to validate prototypes
Project and Process Support
- Assist with project planning, delivery timelines, and task tracking to ensure operational efficiency and alignment with regulatory standards
- Support the implementation of digital tools and systems developed to improve Officials management
- Contribute to the development and documentation of best practices and standard operating procedures
PROFILE:
- Bachelor’s degree or equivalent experience in sports management, administration, international relations, or a related field.
- Average of 5 years’ experience in a similar position within the motorsport industry
- Fluency in English required; other languages are a plus
- Knowledge of the motorsport industry and ASN/ACN networks
- Proficiency in MS Office Suite (Excel, PowerPoint, Word); experience with database tools and CRM platforms preferred
- Strong organisational and multitasking skills, with the ability to manage deadlines and competing priorities
- High level of attention to detail and administrative accuracy
- Strong communication skills, both written and verbal
- Culturally aware with the ability to work effectively in a global and multilingual environment
Occasional travel may be required.
