POSITION SUMMARY:
We are seeking a driven and highly organized individual to gain valuable experience in operations, event activation, and management of a major sporting event. The NTT INDYCAR Series will return to Nashville Superspeedway for Championship Race Weekend, and the Operations and Event Manager will play a key role in its success.
This position is responsible for supporting the President in managing the day-to-day operations of the event, overseeing event marketing activations and agencies, and assisting the team with various event-related tasks. This role is based in Nashville, TN.
SPECIFIC DUTIES:
- Lead and manage the process for event preparation and execution, finalize and issue all master event planning documents for use by all staff; including event manuals, Emergency Action Plans (EAP), planning timelines. Master schedule, after action reporting, after action surveys.
- Lead and manage identification of annual project improvement workstreams resulting from after action surveys, including identification of event improvement areas, staff assignments, work plans, tracking of progress and execution of plan adjustments.
- Support with executing grassroots marketing plans (Car Clubs, Youth Programming, official charities, donation management and community programs), focusing on engaging existing fans and attracting new fans at race and special events and other opportunities as assigned.
- Manage experiential assets and programs as directed. Ensure all marketing assets and promotional materials are cataloged and inventoried on a regular basis.
- Support wider team with department tasks including but not limited to: managing general email inboxes, support on event recaps and information, etc.
- Manage creative assets in Wrike.
- Maintain partnerships with printing and promotional vendors.
- Oversee the creation and maintenance of an accurate fulfillment tracking chart and obtaining logos and approvals for website, printed materials and other collateral.
- Coordinate on-site documentation to produce post-event sponsor reports and event evaluations.
- Attend to all concerns and needs in an efficient, professional, and courteous manner, maintaining high standards for quality at all times.
- Perform related work as required.
QUALIFICATIONS:

Education
- Bachelor’s Degree preferred
Skills/Experience
- Minimum of 5 years’ previous event and/or hospitality industry experience is preferred but not required.
- Some experience in sports and/or sponsorship fulfillment is preferred but not required.
- Other combinations of training and/or experience that can be demonstrated to result in the possession of the knowledge, skills and abilities necessary to perform the duties of this position will also be considered.
- Excellent organizational skills and attention to detail.
- Excellent written and oral communication skills.
- Enthusiastic and able to work independently.
- Ability to handle multiple projects in a fast-paced environment.
- Knowledge of MS Office (Word, Excel, Outlook, PowerPoint, Internet Explorer)

- Ability to work a flexible schedule, which may include nights, weekends and holidays.
Travel/Work Hours
- The position requires flexibility due to being an event-driven business. Traditional and non-traditional work hours expected.
- Must be able to answer calls/emails after hours and on the weekends.
- Travel to Indianapolis, INDYCAR Headquarters, or Detroit, Penske Headquarters, may be required.
