BMW Automotive (Ireland) is looking for a Sales Administration Executive – 2 year FTC. This role is based in our head office in Santry, Dublin.
What awaits you?
- Support integration of Qlik reporting system for IE sales.
- Facilitate the SEAI Grant Application process for internal vehicles.
- Coordinate Electromobility tenders and oversee supplier contractual obligations while collaborating with internal teams and external parties.
- Develop and deliver training on Electromobility to retailers, staff and customers, and lead initiatives such as Local Charging Hero and Mystery Shop Legendary Moments.
- Explore government support programmes to enhance EV sales and support B2B and Employee Charging initiatives.
- Specifying and building of stock for internal fleets. Responsible for ensuring accuracy in ordering cars to meet requirements specified. Manage the registration of cars through ROS for fleets and registering of cars for all necessary applications (M50 toll etc).
- Create and distribute Retailer communications as directed by management team ensuring accuracy and timely distribution of communications.
- Create reports to support management and maintain/ update regular reports for department. Support team with creation of presentation materials/ data. Develop reporting functionality to ensure ongoing visibility of effectiveness of teams current processes.
- Gather and analyse data from internal and external sources for projects, setting targets and performances of various aspects of the business.
- Liaise with BMW UK Sales for quota allocation for both internal and network, ensuring sufficient quota available for sales volume targets to be met.
- Maintain and develop specification matrix for internal fleet cars as agreed with Fleet Manager, collate staff requirements and order cars in a timely manner to fulfil requirements. Spec matrix to be reviewed biannually and developed to maximise remarketing values of returned cars.
- Support BMW UK Finance with outstanding debt issues for invoices generated by sales team, follow up and liaise with customers and internal colleagues to resolve open issues.
- Liaise with appointed supplier for all management of internal fleet cars, including maintenance requirements. Issue work instructions to supplier and coordinate car movements as required for completion of tasks.
- Liaise with Irish Revenue for the approval of new car models entering the country and support the product executive with queries, tax changes, data uploads to Revenue and other government organisations and price changes.
- Track retailer orders that are affected by option or price changes and compensate them for any increases should the qualify.
What should you bring along?
- Leaving Certificate
- Experience in working under pressure with deadlines to be met.
- Experience in working in a fast-moving environment where accuracy is essential.
- Previously working as part of a team collaborating across a number of departments.
- Administration & finance experience.
- IT literate, particularly with MS office tools.
- Organised, a good communicator, able to work to deadlines.
- Ability to break complex issues down and create solutions to the issues.
