The Role:
Are you driven by detail, thrive in a high-pressure environment and passionate about the logistics behind global motorsports events? We are looking for an ultra-organised, resilient and proactive individual to take on the pivotal role of Race Travel Coordinator for Formula E.
This is a fast-paced, often reactive position where you will be instrumental in executing the smooth, global travel logistics for our people at race events. If you have exceptional administrative skills, a high level of business acumen and the enthusiasm to ensure flawless execution across multiple continents, we want to hear from you. This position is based at the Formula E HQ in London and reports directly to the Race Travel Manager.
Global Logistics Management: As a key member of the Race Travel team, you will coordinate the end-to-end travel needs for each event. This includes handling large-scale flight bookings (search, fare comparison and confirmation), managing hotel room blocks and executing detailed ground transportation manifests (airport transfers and daily track shuttles). You will be constantly multitasking and working on several projects simultaneously, both from the office and on-site at races.
Execution & Administration Excellence: You will own the production and distribution of all essential race travel documentation, including comprehensive travel packs, E-Tickets, pre-departure letters and race travel portals. Great attention to detail is paramount as you maintain race spreadsheets, update records and ensure all bookings are accurate and meet expectations for quality and productivity.
Compliance & Best Value Champion: You will be the frontline champion for ensuring compliance with the company's travel policy. Using your technical experience, you will actively source the most appropriate, best-value travel solutions by building close relationships with corporate travel agencies. You must have the ability to flag costs that exceed budgeted fares and push back on staff requests that do not align with policy.
Stakeholder Relationships: Build and maintain close, effective relationships with chosen corporate travel agencies and internal stakeholders across all departments to provide efficient and effective travel solutions that meet the specific needs of travellers' roles and commitments. You will also provide on-call response to urgent travel queries when needed.
What we're looking for in you:
The Meticulous Logistician: Your background is ideally in a corporate travel environment or the live events industry. You must possess a proven track record of being ruthlessly organised, capable of working to very tight deadlines in a high-pressured environment and managing complex travel logistics for large groups (170+ people). Excellent proficiency in Microsoft Word & Excel is essential; Smartsheet proficiency is an advantage.
The Resilient Professional: You must be a self-starter who is able to stay focused when working solo, take full ownership of projects and manage a high workload while maintaining unwavering professionalism. We need someone driven and enthusiastic, who views challenges as opportunities and can travel extensively and work unsociable hours during the race season.
The Collaborative Communicator: You are confident, assertive and approachable, with solid oral and written English communication skills (other European languages are a bonus). You can effectively liaise with various teams and suppliers at all levels and possess a sympathetic approach to colleagues, allowing you to easily integrate into a group environment.

This is a hybrid role and you'll be required to do 3 days a week in our Hammersmith London office
