As the Commissions & Programmes Support Coordinator, you will have a central role providing operational, administrative, and secretarial support to ensure the effective organization and coordination of the department's activities. You will be responsible for assisting with the preparation, logistics, and documentation for governing body meetings and supporting key stakeholders. You will be working closely with the Executive Assistant (EA) to the SG & WCAMT Coordinator and with the Commissions & Programmes Manager. This role requires a high degree of organization, accuracy, and discretion.
MISSIONS AND RESPONSIBILITIES:
ADMINISTRATIVE AND PROGRAMME SUPPORT
- Work in close coordination with the EA & WCAMT Coordinator to ensure consistency in scheduling, document management, and information flow across the Mobility & Sustainability Division.
- Provide miscellaneous administrative assistance (calendar, meeting logistics, expenses, travel management, invoices, presentations, etc.) and proactively address any last-minute changes.
- Assist the Commissions & Programmes Manager with the coordination of projects and initiatives under Advocacy and Sustainability.
- Conduct regular liaison with internal departments (Finance, Events, Legal, etc.) and external stakeholders, including FIA Member Clubs and external partners.
COMMISSION COORDINATION AND SECRETARIAT SUPPORT
- Assist in preparing save-the-date notes, agendas, and working papers for the Mobility and Sustainability Commissions (WCAMT, ProCom, CHI, FMC, etc.).
- Coordinate logistics for meetings (Teams, in-person, hybrid).
- Ensure timely circulation of documentation and follow-up actions.
- Maintain accurate databases of Commission members and mandates.
- Support the compilation of voting lists, attendance records, document archives , and assist in the preparation of e-votes.
- Support the tracking of actions and decisions arising from governing bodies.
PROFILE:
- University or higher education degree (business administration, international relations, law or related field). Relevant professional training or certification is a plus.
- 2-4 years of relevant experience in an administrative, coordination or project support role.
- Experience in international or membership-based organisations is desirable.
- Fluent English required. Additional languages are an asset.
- Excellent command of MS Office (Word, Excel, PowerPoint, Outlook). Experience with Teams, SharePoint, and collaborative platforms.
