As the Executive Assistant & Team Assistant, you will provide essential administrative and coordination support to the Director and the Single Seater Leadership Team, ensuring the smooth and efficient running of the department.
You will report to the Single Seater Director and work under the supervision of the Senior Executive Assistant.
MISSIONS AND RESPONSIBILITIES:
EXECUTIVE ASSISTANT TO THE SINGLE SEATER DIRECTOR:
- Handle the secretariat of the Single Seater Director, including all internal and external communication with the utmost discretion.
- Coordinate all travel arrangements, including visas, logistics, and itineraries for the entire Single Seater Leadership Team.
- Organize and coordinate meetings, conferences, and events (virtual and in-person), from logistical aspects to preparing agendas and minutes.
- Provide administrative and logistical support for key governance meetings
- Draft correspondence, reports, presentations and handle sensitive and confidential information.
CHAMPIONSHIPS' ADMINISTRATION & TEAM SUPPORT:
- Manage the administrative aspects of the FIA Formula 1 Championship, including Grand Prix coordination, Superlicences and communication with F1 Teams.
- Ensure the completion of formalities related to agreements with organizers, ASNs and promoters.
- Manage the official publication of regulations for the Single Seater Department.
- Provide administrative support for the leadership team, including invoice approvals and expense management
PROFILE:
- An administrative or commercial degree.
- At least 5 years of experience in an Executive or Personal Assistant position at a senior management level.
- Direct knowledge of Formula 1 is not required but is an advantage; previous work in a sports or International Federation environment is also a plus.
- Full proficiency with Microsoft Office tools (Word, Excel, PowerPoint) is necessary.
- Fluency in English is required; French fluency is a strong plus.
- A highly organized, rigorous, and flexible team player with a proven ability to manage high-pressure situations, handle confidential information discreetly, and multitask effectively.
