WHAT YOU’LL DO
Join the Facilities Department’s management team as a key contributor in purchasing and warehouse operations. You’ll oversee daily procurement and inventory tasks, ensuring timely, cost-effective sourcing and organized warehouse processes. This full-time role offers a unique opportunity to support event execution and facility maintenance at the iconic Indianapolis Motor Speedway—home of the world’s largest single-day sporting event, the Indianapolis 500®
YOUR RESPONSIBILITIES
- Oversee procurement of goods and services for the Facilities Department, including vendor negotiation on pricing, delivery, quality, and warranties.
- Manage relationships with contractors, service providers, and vendors—including identification and qualification of new businesses, with a focus on minority- and women-owned
- Process approved purchase requests and maintain accurate records of deliveries, inventory, shipments, and invoices
- Create, code, receive, and approve high volumes of Purchase Orders (POs) in Yooz
- Code and approve non-PO invoices in Yooz; research and resolve discrepancies to ensure accuracy
- Track and report CapEx and operational spending; provide weekly updates and monthly accruals to Accounting
- Reconcile credit card purchases in Concur and submit expense reports (e.g., boot reimbursements, petty cash)
- Monitor and track orders to ensure timely delivery
- Oversee inventory and warehouse operations (equipment, materials, tools, supplies, etc.)
- Manage loading/unloading of semis, trailers, trucks, and vans; organize, package, and distribute internal and external deliveries
- Track items borrowed from the warehouse and ensure timely returns
- Schedule pickups and assign Runner for off-site material and equipment retrievals
- Coordinate service requests for garage doors, gates, etc.
- Liaise with Cintas regarding uniforms, floor mats, and first aid cabinets
- Manage fuel pump access for approved users (diesel and unleaded)
- Distribute rental radios for the Facilities Department
- Support the Ecology Program during Marquee Events
- Dispatch skilled trades team in response to work requests or issues
- Monitor Gate 9A camera system from desktop as needed
- Perform other duties as assigned

Required Experience & Skills:
- 3–5 years of experience in data processing or a related field
- Solid understanding of purchasing principles and best practices
- Excellent organizational and time management skills, with the ability to prioritize and meet deadlines
- Strong critical thinking and problem-solving abilities
- Effective verbal and written communication skills
- High level of integrity, confidentiality, and professionalism
- Self-starter with a customer service mindset and strong sense of ownership
- Innovative thinker who takes initiative and adapts to evolving priorities
- Proficient in Microsoft Office / Microsoft 365 suite
- Forklift certification required (training provided by IMS)
- Cultural competence and the ability to thrive in a diverse environment

Education:
- Associate’s Degree preferred
Leadership:
- Seasonal employee supervision, as necessary
FLEXIBILITY & TRAVEL
- No travel required.
- Standard hours are Monday–Friday, 7:15 AM to 4:00 PM.
- Extended hours required during race weekends and key event periods (especially May)

PHYSICAL DEMANDS
- Requires prolonged periods of sitting, standing, and walking
- Must be able to see and hear within normal range, with or without corrective devices
- Ability to communicate clearly and effectively, both verbally and in writing
- Occasionally required to lift and/or move objects up to 50 pounds
- Must have the stamina to work long hours and the flexibility to work evenings, weekends, and holidays as needed
- Comfort working indoors/outdoors and around event noise
