The team is now looking to expand into the pinnacle of motorsport through our Andretti Cadillac Team. We have an exciting opportunity for an Executive Assistant to join the Andretti Cadillac Team at the new Silverstone Facility. In this role you will provide support to the senior leadership team and in particular for the Chief Legal Officer, Finance Director and HR Director based in Silverstone.
Principal Accountabilities:
The Executive Assistant will provide confidential and professional executive support to the Chief Legal Officer, Finance Director and HR Director. They must be a strong communicator and be able to build good relationships with the team and stakeholders.
To perform this role successfully, the individual is expected to handle highly sensitive and confidential financial, legal and personnel information while exercising professionalism and discretion.
Tasks include:
Managing executives’ calendars and set up meetings
Draft, review and send communications on behalf of company executives
Answer and respond to phone calls
Prioritise emails and respond when necessary
Take and circulate meeting minutes and follow up on action points agreed
Complete and submit expenses forms for the executives
Organise and prepare for meetings, including gathering documents and attending to logistics of meetings
Coordinate travel arrangements
Coordinate the distribution of team clothing to new starters
Coordinate the signature of contractual document and filing within the electronic filing system
Preparation and populating of basic contractual documents such as NDAs and employment related documents based on a pro forma (training will be given as required)
Requirements
Work experience as an Executive Assistant, Personal Assistant or similar role supporting a senior executive(s)
Outstanding organisational and time management skills
Excellent verbal and written communications skills
Discretion and confidentiality
Ability to thrive in a fast-paced, dynamic environment and manage multiple priorities
High level of attention to detail
Strong levels of IT skills including MS Office, Word, Excel and PowerPoint
