We have a new opportunity to be part of our Facilities team in the role of Facilities Compliance Administrator.
Responsibilities:
Support the Facilities team through the maintenance of records in respect of health and safety and other areas of compliance.
Support the Facilities team to maintain the planned and reactive maintenance logs including liaising with external contractors and service providers as necessary and facilitate requirements to support them, including RAMS, contractor portal bookings and ensuring documentation is up to date and accurate and records are properly maintained.
Administration of statutory certificates.
Arrange bookings for health and safety and other compliance work in line with the timetables provided, updating records as necessary.
Support Employee Wellbeing administration
Support Lone Working administration
Support the Senior Estate and Projects Team Manager with HR related tasks including maintaining a record of Holiday entitlement, absence recording and a training matrix.
Raise purchase and Invoice requisitions including ordering of PPE
Support, administer and create employee and contractor passes.
Provide data into KPI reporting systems, including incident, accident and near misses.
Book rooms and support diary management for the team.
Support events as required.
Skills & Knowledge Required
Excellent administration and PC literacy skills including MS office, MS SharePoint and ability to learn to use our internal and CAFM systems
Excellent verbal and written communication skills with the ability to interface well with vendors and to ensure positive effective relationships and partnering.
Experience in FM Management Systems would be an advantage.
High attention to detail and data input and record keeping.
Organised, professional and have the ability to prioritise work task.
