The Role:
As a VIP Guest Relations Coordinator at Formula E, you will be the core driver in planning, preparing and delivering a first-class, personalised service for high-profile guests, VIPs and visitors across all Formula E events and races. You will ensure an exceptional, seamless and memorable on-site experience by acting as the central person between internal teams and external partners.
VIP Experience Delivery & On-Site Operations: Plan, travel to and execute the guest journey at races, ensuring a seamless experience from arrival through to departure. This includes managing guest arrivals, coordinating specific meet-and-greets, handling ad-hoc requests and collating and distributing essential briefing documents for the executive team.
Stakeholder Management & Communication: Act as the primary point of contact for all VIP guest management logistics. Coordinate the design and delivery of all guest communications, including invitations, 'hold the date' notifications and the drafting and sending of personalised guest itineraries detailing curated experiences and hospitality access.
Data Integrity & Logistics: Lead the collation of comprehensive VIP guest lists in collaboration with department leads. Manage and meticulously update the CRM guest tool, building detailed profiles that track personal preferences, key dates and engagement history to ensure future personalisation. Manage the end-to-end process of VIP ticket and accreditation distribution.
Executive Support & Gifting: Coordinate operational logistics across internal departments for VIP guest requirements. Manage the day-to-day coordination of gifting for the CEO's office, ensuring adherence to budget and compliance guidelines. Raise and accept purchase orders and sales invoices as required for event-related suppliers.
What we're looking for in you:
Experience required: You must have proven experience in a customer-facing role within a fast-paced, dynamic environment, such as sports, entertainment, or luxury hospitality. You should possess a demonstrable track record of strong organisational skills, attention to detail and event coordination. Experience working with C-suite individuals, VIPs, or dignitaries is highly desirable and previous experience as a PA or EA to a CEO is a plus.
Skills & Attributes: You will need exceptional communication and interpersonal skills coupled with a high level of integrity and discretion. You must possess strong administrative and IT literacy skills and demonstrate the ability to work effectively under pressure and to tight deadlines. A flexible and proactive "can-do" attitude is essential, along with the ability to work long and often unsociable hours, with the capacity to travel internationally.
Personal Qualities: You should be a team player with a resilient and adaptable approach and you must be self-motivated and able to work independently.

This is a hybrid role and you'll be required to do 3 days a week in our Hammersmith London office
